Human Resources Coordinator (Fixed Term - 18 Months)

IO’s Corporate Services Enterprise Team is made up of the Human Resources and Communications Teams. It ensures that the agency is able to attract and retain a talented, highly-engaged and diverse workforce that aligns with the needs of the organization. The team also manages communications, marketing, and stakeholder relations, working collaboratively with business units on strategic and business planning activities, corporate branding, and communications with clients, stakeholders, media, and the public.

Come join our small but mighty Human Capital Planning team within Human Resources at Infrastructure Ontario. Human Capital Planning is responsible for helping to attract and retain a talented and highly-engaged workforce through delivery of the health and safety program and workforce planning. Our team works closely in the broader Corporate Services Enterprise Team with colleagues across the Human Resources and Communications departments.


What You Will Do

  • Coordinate IO’s Joint Health and Safety Committee including scheduling, agendas, minutes, workplace inspections, following up on action items and contributing to initiatives.
  • Maintain compliance with health and safety legislation by initiating regular/annual reviews of specific programs, including the workplace violence risk assessment, accessibility, posting of required material and other initiatives as required.
  • Manage all health and safety-related data. Ensure quality, consistency, and completeness of the data on an ongoing basis.
  • Prepare health and safety-related material for the purposes of educating and training employees (live or via e-learning), working with the HR Learning team, for a wide variety of internal forums.  
  • Draft health and safety-specific communications and promotional material, working with the internal communications team, using engaging and appropriate tools to increase awareness.  
  • Coordinate completion of forms and claims related to accident and incidents, working with the appropriate governing body (e.g. WSIB, Ministry of Labour). Act as the point of contact for all employee inquiries.
  • Refresh and communicate evacuation procedures (unique to each IO location) and fire warden responsibilities annually.
  • Coordinate the Personal Protective Equipment program for IO employees.
  • Manage all external service provider relationships for the health and safety program.
  • Input other Human Capital-related data, as well as create and execute data reporting as required, including dashboards and presentations.
  • Provide executive support to the Executive Vice-President, Corporate Services.


Who We Are Looking For

  • A minimum of 3 years of experience providing support, functional and cross-functional coordination, and administration in a corporate environment.
  • Post-secondary education or equivalent experience.
  • Experience tracking, managing, and analyzing data/information, using a variety of technology and Excel as tools.
  • Experience in a role with the responsibility for the client experience, including proactively managing inquiries and issues, supporting clients through corporate processes, providing comprehensive information, etc.
  • Experience preparing reports, dashboards, communications and training material including presentations and other written materials.
  • Proactive and detail-oriented with a sense of urgency, strong follow-through and ability to take initiative.
  • Strong client-orientation and excellent interpersonal skills with a proven ability to build and sustain positive working relationships.
  • Intermediate to advanced level Excel and PowerPoint skills required.
  • Familiarity with health and safety legislation an asset.
